AR aging
Outcome
You can read the AR aging chart, drill into any bucket, identify the biggest aged claims, and assign or schedule follow-up actions for each.
Prerequisites
| Scope | What it lets you do |
|---|---|
billing.claim.read | View claims and balances |
reports.read.financial | See the AR aging widgets |
The chart
/ar/aging (or the dashboard's AR aging widget). Default buckets:
| Bucket | Days |
|---|---|
| 0-30 | Current |
| 31-60 | Watch |
| 61-90 | Action |
| 91-120 | Escalation |
| 121+ | Critical |
Each bucket shows total dollars + claim count. Click a bucket → land on the filtered Claims list with that age range applied.
Filters that matter
| Filter | Use |
|---|---|
| Payer | Find a payer's pattern. |
| Facility | Multi-site clerks. |
| Filing type (P / I) | Different cadence per type. |
| Status | SUBMITTED vs ACCEPTED — the gap matters. |
| Assigned to | Workload distribution. |
Common patterns
| Pattern | Read |
|---|---|
| Big spike in 31-60 from a single payer | Payer is slow, or payer rejected your batch silently. |
| Steady growth in 91-120 | Follow-up cadence is broken; team is too small or overwhelmed. |
| Concentration at one facility | Likely intake / EMR issue at that site. |
| 121+ growing | Escalate; this is bad-debt territory. |
Working an aged claim
Open the claim from the bucket drill-through. Look at the Submission tab.
Decide where it is in the lifecycle:
State Move SUBMITTED(no 277CA)Resubmit; or contact partner. ACCEPTED(no 835)Send 276 inquiry — see 6.4. DENIED(denial open)Triage on /denials.PARTIAL(balance with payer)Partial-payment follow-up — payer call or appeal. PARTIAL(balance with patient)Patient AR — see 7.1. Set follow-up on the right rail. Reason + due date. The dashboard flags overdue follow-ups.
Bulk follow-up
For an aging cohort:
Filter to the cohort (e.g. age 61-90, payer X, accepted-no-835).
Bulk select,
Send 276. The platform builds inquiries and sends.Watch responses on the dashboard's 276 responses today widget. Triage based on each 277.
The watch list
Save filtered AR views as Watch lists:
| List | Filter |
|---|---|
Aged 60+ over $1k | age >= 61 AND balance > 1000 |
Payer X follow-up | payer_id = X AND age >= 30 |
My queue | assigned_to = me AND followup_due |
Watch lists save in the dashboard view picker. See 8.2 — Custom views.
Validation
| Check | Expected |
|---|---|
| Drill from a bucket lands on the filtered list | Yes. |
| Assigning a claim updates the assigned-to filter | Yes. |
Watch list saves under the dashboard | Yes. |
Bulk Send 276 writes one transaction per claim | Yes. |
Troubleshooting
| Symptom | Cause | Fix |
|---|---|---|
| Aging numbers don't match accounting | Different aging definitions | Confirm: aging starts on submission date by default; some tenants prefer DOS. |
| Bucket counts disagree across screens | Cache lag | Hard-refresh; the dashboard refreshes on a 60-second cadence. |
| Old claims with $0 balance still showing | View filter | Toggle Hide $0 balances. |
| Followup date doesn't surface | View doesn't include followup_due | Add the column or use the Followup overdue watch list. |
